The International Money Movement Systems (IMMS) is a custom module installed in Oracle E-Business Suite, an industry leading Enterprise Resource Planning (ERP) application, which interfaces ADP’s internal payroll systems with external financial partners for payroll related disbursements in international locations. The platform is currently fully functional for Canada, UK, Netherlands and France. IMMS is responsible for the timely and accurate processing of all clients’ employee and employer Electronic Funds Transfers (EFT / ACH), Cheque disbursement, collection activity (EFT / ACH / Wire), tax and third party remittance services, accounting and reconciliation activities, risk review, revenue recognition (including foreign exchange) and short term cash forecasting for ADP’s international operations. Currently the IMMS platform processes transactional activities of over 133 Billion Dollars (50,000 clients) for Canada and 15 Billion Euros (5,000 Clients) for Europe.

POSITION SUMMARY:

The Tax Coordinator, Payment Operations will process day to day transactions for Payment Operations with a primary focus to our core functions: Payments (Banking) and Tax Processing. The individual will partner with our team located in Halifax, Nova Scotia.

The candidate will have demonstrated experiences around the following key deliverables:

Client Experience
* A laser focus on putting ADP clients first. Must have the ability to strategically envision the end-to-end (E2E) client experiences and apply service enhancements to the Payment Operations environment

Operational Excellence
* Ability to understand work flows, and the transactional value to the organization. Demonstrated ability to challenge status quo and implement change to improve efficiencies and/or client experience

Relationship Building
* Assist the team of associates by providing support in problem solving situations for both our key processes: Payments (Banking) & Tax Remittances. In addition, build strong working relationships with our internal and external partners to support International Money Movement deliverables.

RESPONSIBILITIES

* Review approved Sales Orders for related tax information on electronic order processing systems for identified clients

* Coordinate, analyze and validate tax documents for new tax filing clients against implementation and activation processes for Autopay and Paytech

* Identify, coordinate or escalate discrepancies for client tax filing set ups & changes and follow up to ensure corrective actions are initiated in a timely manner

* Balance and verify first payroll tax transactions on Mainframes to IMMS impounds/disbursements and tax profiles created

* Monitor and troubleshoot Employer Health Tax Adjustment forms uploaded to Mainframe and take remedial action for forms in data error status

* Manage invoices on hold for specific tax authority and provide timely resolution steps based on payment due dates

* Manage IMMS Net Negative tax disbursements and in coordination with the client, provide timely resolution within 3 business days

* Manage Negative Payrolls Report items in coordination with Funding and Banking departments

* Manage and provide resolution to IMMS Tax Disbursements on hold due to missing/invalid Tax Account Numbers for various tax jurisdictions based on payment due dates

* Ongoing case management, providing timely, accurate and clear & concise resolution in accordance with service level agreements

* Manage team fax queue and folder assignments for all incoming faxes and documentation

* Maintain current filing of job related documentation

* Maintain internal audit controls, service level agreements and ensure daily team functions are completed

* Occasional weekend work, may be required, testing purposes

Required:

* Post Secondary Education and/or 2 years experience in the payroll environment, preferably tax processing

* Previous experience using various payroll software and applications would be an asset

* Working knowledge of MS Office and Case Management Software

* Good understanding of accounting concepts and internal controls

* Basic knowledge of Oracle Financials

* Prior experience in diverse and virtual team environment
