Summary:

Reporting to the DVP, Human Resources Outsourcing (HRO) the primary responsibility of the Specialist is to provide day to day client support activities in delivering our Workforce Now Comprehensive Services (WFN CS) product, management report consolidations, client database administration and communications, and delivery of ongoing product content for the HRO organization; all with the objective of achieving client service excellence and operational efficiency and effectiveness. The successful candidate is resourceful, trustworthy and professional and must be able to handle multiple tasks and projects at the same. They will be able to communicate effectively and in a timely manner in response to requests, and act proactively at all times on assigned tasks.

 

Responsibilities:

  • Support the HRO business unit by attending to a wide variety of documentation related to operational activities that support our clients (e.g. maintaining client tracking and databases, uploading and tracking of contracts, contact databases, French translation process etc.).
  • Gather and consolidate various data and analysis, to produce a wide range of dashboards and management reports; compile data in a user-friendly format and professional/advanced presentations to communicate to a variety of stakeholders across the organization.
  • Owns the preparation, translation and delivery of HR content (weekly tips and alerts, information newsletters, updates etc.) to clients in a variety of formats i.e. emails, infographics, webinars etc. for WFN CS. This will be delivered using approved tools, coordinating various providers/vendors and gathering input/required support across matrixed functional teams in order to meet established communication protocols, ADP brand standards and legal (CASL) compliance.
  • Lead the ongoing updates and maintenance of the WFN CS content database, revising and adding to the online knowledge and forms library etc. Coordinate with WFN CS partner providers as appropriate and monitor overall library performance and delivery.
  • Tracking client satisfaction and retention, Net Promoter Score reporting and administration.
  • Develop and maintain liaison with senior management and ADP associates globally, external clients and other contacts to ensure continuous dissemination and coordination of information and efficient day to day operations; demonstrate a high level of professionalism and the ability to deal with clients and staff effectively in support of project and business management activities.
  • Support various administrative duties in organizing, planning and coordinating client related and HRO activities, meetings and events.
  • Participate, as needed, in various committees, prepare minutes of the meetings, and follow-up on committee recommendations.
  • Demonstrates a high level of competence with the ability to apply skills and knowledge to practical problems on a daily basis and solve issues as they arise.
  • Performs a variety of administrative duties requiring the exercise of considerable initiative, leadership, and independent judgment:
    • Provides organization and maintenance of files, documents, workflow, and confidential information such as contracts, agreements, etc.
    • Coordinates invoicing and other accounting duties as directed by the HRO management team.
  • Assist management in determining work flow, by organizing and/or attending meetings as well as by handling other tasks (agendas, business trips, conferences, budgets), in order to achieve the objectives established for the department Participates as a team member on projects and/or special assignments.
  • Perform other tasks and duties as assigned by the HRO team.

  

Education and Experience:

  • A College diploma or equivalent in finance or business with a minimum of 5 years of experience in a business administration/analysis/reporting role for a large, multinational, complex organization.
  • Experience with business unit dashboards, databases and creating management reports.
  • Experience in the outsourcing industry and/or Human Capital Management/Human Resources is preferred.

 

 Skills and Knowledge:

  • Very strong knowledge of MS Word, Excel and PowerPoint; ability to learn and adapt to new software; comfortable with new technologies as they arise.
  • Familiar with Net Promoter Score.
  • Self-starter with the ability to handle multiple tasks/projects simultaneously.
  • Requires a professional, organized individual with excellent written and verbal communication skills.
  • Proven ability to work well in a team, with the initiative and ability to work independently and flex as the situation warrants.
  • Proactive, energetic, enthusiastic and a professional, courteous manner, able to work with various internal and external contacts at all levels of an organization.
  • Ability to interpret and organize information with a keen attention to detail.
  • Results oriented with ability to work under pressure.
  • Bilingual (French/English) preferred.
