JOB TITLE: Medical Assistant/Health Promotions

BASIC FUNCTION:
Assist the providers in the Health & Wellness Center with the examination or treatment of patients and handle front desk receptionist responsibilities. In addition, provide support for various administrative and wellness initiatives across all Health & Wellness centers.

CLINICAL RESPONSIBILITIES (Approx. Wt. 40 – 90%):

  • Assist medical staff in the routine examination and treatment of patients to include the following:
  • Obtaining and recording data; entering information into the patient’s medical record.
  • Venipuncture, prepare lab specimens and paperwork for outside lab vendor.
  • Perform required testing for periodic health examinations (EKG, venipuncture, urine dipstick, vision screening, body fat analysis, pulmonary function and other testing as requested).
  • Performs such duties as taking vital signs, and assists provider during examinations as needed, including telemedicine as applicable.
  • Administers flu vaccine and other injections as directed/ordered by providers.
  • Perform blood pressure screenings at the onsite medical department or off-site as assigned.
  • Acts as medical chaperone when requested.
  • Maintain logs as required for checks of equipment such as AEDs, oxygen, etc. and maintain refrigerator temperature log.
  • Keep rooms neat, organized and stocked with adequate supplies.
  • Maintenance of medical supplies as per policy.
  • In the case of a medical emergency where no other HWC staff member is present follow the one rescuer/BLS protocol, and activate the first responder process.
  • Other duties as assigned.
  • Coordinate skin cancer screenings in NJ
  • Perform Ergonomic evaluations if requested and document the findings as per office policy,
  • Be a national resource for all HWCs on equipment maintenance agreements, options for calibration, etc.

FRONT OFFICE RESPONSIBILITIES (Approx. 20-50%):

  • The medical assistant is responsible for performing the following duties:
  • Greets employees and other visitors in a courteous and helpful manner
  • Ensures that only authorized individuals have access to the department
  • Answers the telephone, schedules appointments for the providers and any other professionals who may provide services at the Health & Wellness Centers.
  • Promotes the use of the patient portal
  • Prepares and sends forms to associates for special programs (e.g. periodic examinations, screenings, and flu immunizations).
  • Responds in a timely manner to inquiries and emergency calls with prompt referral to medical staff.
  • Coordinates the daily schedules of clinical staff, meetings and other activities.
  • Creates, registers and maintains medical records for associates. .
  • Copies medical records (upon associate’s request) with appropriate consent/authorization form as per policy.
  • Ensure that information and patient educational materials in the waiting room are organized and current.
  • Where applicable, maintain the location’s Sharepoint staff calendar.
  • Perform other related duties as assigned.

Technology — electronic medical records/patient portal/telemedicine (Approx. Wt. 30%):

  • As a Superuser, attend Allscripts super user calls and trainings
  • Assist other Health & Wellness Center staff with basic system support, answer questions about the system. Provide training on PM/EMR/FMH.
  • Submit support tickets for resolution and follow-up.
  • Keeps track of all of the open cases and follows up as needed.
  • Process charges. Closes/opens/processes the monthly charge import batches.
  • Run/Research monthly no voucher report in Allscripts for all sites. Check the bump list monthly for all sites.
  • Check and updates the automatic registration list in PM from FMH for all sites weekly.
  • Run the monthly stat reports and compiles data into multiple reports.
  • Password resets for EHR and PM
  • Process Provider Template Schedule Changes in Allscripts PM for HWC locations as needed.
  • Provide assistance with schedule planning as it pertains to setting up new appointment types/categories in system as needed.
  • Assist with forwarding HWC phones, and answering other HWC phones as needed in staff absences.
  • Monitor telemedicine waiting room, and triage/schedule patients as needed.
  • Merge charts in PM and HER
  • Assist with FMH dashboard changes and setup
  • Answer staff and associate questions on FMH, and trouble shoot patient issues with scheduling, account set up, user experience.
  • Provides username recovery reset emails to patients for FMH.

National Programs Coordination & Support (Approx. Wt. 5%):

  • Investigate pricing, and order flu vaccine for all locations
  • Be liaison with Quest and LabCorp for account set up and address any issues
  • Be the liaison with Moore Medical and Medline to research equipment and supply pricing as needed, and address any issues with Ariba or the vendor. Facilitate any special orders from the vendors, such as lab coats, or new office setup.
  • Be the liaison with Stericycle to answer other location’s questions, and maintain agreements and access to their online resources. Schedule yearly on-site visit for Roseland.
  • Be a resource for sites that want to start a 1st Responders program. In NJ, coordinate scheduling outside training for CPR as needed. Be the contact for Ariba/Procurement for any site looking to purchase an AED or related supplies.
  • Maintain OSHA/Stericycle compliance in Roseland.
  • Liaison with Risk Management and Liberty Mutual for staff ergo training or questions.
  • Assist with obtaining CLIA licenses or questions as needed.
  • Coordinate annual order for Healthyroads supplies via Quest for each location, and be a resource for sites on Healthyroads program design, events/challenges.
  • Prepare Healthyroads monthly reports and send to Healthyroads.
  • Assist in any higher level issues with associates receiving credit from Healthyroads, Quest lost specimens, etc.

GENERAL RESPONSIBILITIES (Approx. Wt. 5 %):

  • Maintain confidentiality of medical information and patient records
  • Maintain all work areas in clean and orderly condition.
  • Wash and sterilize a variety of medical supplies, instruments and equipment.
  • Order medical supplies.
  • Assists with implementation of health promotion activities.

  • Supervisor: Physician Manager/Medical Director
  • Supervision Received: Moderate supervision
  • Supervisory Authority: None

QUALIFICATIONS:

Education:

  • High School diploma or equivalent.
  • Successful completion of an accredited Medical Assistant or LPN program.
  • Certification as a Medical Assistant or LPN by an appropriate organization.

Experience:

  • Three or more years of medical assistant or LPN
  • Experience preferred.
  • Experience in ambulatory care a plus.
  • Experience in a corporate environment a plus.
  • Experience with EMRs, Microsoft Office preferred.

Generic Skills:

  • Must have good verbal and written skills.
  • Ability to multi-task, and work with associates and medical staff of different levels cooperatively.
  • Self-starter.
  • Advanced computer skills required.
  • Ability to use discretion in handling confidential Information.
  • CPR/AED certification required (or willing to obtain
  • CPR/AED certification within 6 wks of hire).
